Landlord Terms of Service

The rules for landlords and property managers using PropAssess to track compliance, store certificates, and book inspections.

01About these Terms

These Terms of Service ("Terms") form a legally binding agreement between you ("you", "your", or "Landlord") and PropAssess ("PropAssess", "we", "us", or "our") regarding your use of the PropAssess platform as a landlord or property manager.

By creating a landlord account or using the Service, you agree to these Terms and our Landlord Privacy Policy. If you do not agree, do not use the Service.

02The Service

PropAssess provides a software platform to help UK landlords and property managers track property compliance, store certificates and documents, book Gas Safe / electrical / EPC and related inspections, receive reminders, and manage bookings and invoices.

PropAssess is a compliance management and marketplace tool. It is not a law firm, insurer, or regulatory body. Using the Service does not create a solicitor–client or advisory relationship. You remain solely responsible for ensuring your properties comply with all applicable UK housing and safety regulations.

03Your account

  • You must provide accurate account information and keep it up to date.
  • You are responsible for safeguarding your login credentials and for all activity under your account.
  • You must be at least 18 years old and legally able to enter contracts in the United Kingdom.
  • One person or organisation should control each landlord account; do not share credentials with unauthorised third parties.

04Bookings, engineers and certificates

When you book an inspection or certificate through PropAssess, we may introduce you to independent Gas Safe registered engineers or other qualified contractors. Engineers are independent service providers, not employees of PropAssess, unless we expressly state otherwise.

You are responsible for providing accurate property details, safe access on the agreed date, and any information the engineer reasonably needs to carry out the work. Certificates and reports generated or uploaded via the platform remain subject to the professional responsibility of the issuing engineer.

  • Quotes and availability shown on the platform are indicative until confirmed.
  • Cancellations and rescheduling may be subject to the timing and fees shown at booking.
  • PropAssess does not guarantee that any particular engineer will accept a job.

05Fees and payments

Fees for bookings, subscriptions, or other paid features will be shown clearly before you confirm. Payments are typically processed by Stripe or another PCI-compliant payment provider. We do not store full card numbers.

Unless stated otherwise, prices are in GBP and may include or exclude VAT as displayed at checkout. Refunds, if applicable, follow the cancellation policy shown for that booking or plan.

06Your data and documents

You retain ownership of property data, documents, and content you upload. You grant PropAssess a limited licence to store, process, and display that content solely to provide the Service.

If you upload personal data about tenants, applicants, or other third parties, you are the data controller of that information and confirm you have a lawful basis under UK GDPR to do so. Our Landlord Privacy Policy explains how we process account and platform data.

07Acceptable use

  • Use the Service only for lawful property-management and compliance purposes.
  • Do not upload false, misleading, or fraudulent property or certificate information.
  • Do not attempt to gain unauthorised access, scrape, reverse-engineer, or disrupt the platform.
  • Do not use the Service to harass engineers, staff, or other users.

08Intellectual property

The PropAssess platform — including software, design, logos, text, and templates (excluding your own data) — is owned by us or our licensors and protected by intellectual property laws. We grant you a limited, non-exclusive, non-transferable, revocable licence to use the Service for your own property-management purposes while your account is in good standing.

09Disclaimers and liability

The Service is provided on an "as is" and "as available" basis. We do not warrant uninterrupted availability or that compliance reminders will catch every legal obligation applicable to your portfolio.

To the fullest extent permitted by law, PropAssess’s total liability arising out of or relating to these Terms or the Service is limited to the fees you paid to us for the Service in the 12 months before the claim. We are not liable for indirect, incidental, or consequential losses, including lost profits or regulatory fines arising from your failure to maintain compliance.

Nothing in these Terms excludes liability for death or personal injury caused by negligence, fraud, or any other liability that cannot be limited under English law.

10Suspension and termination

You may stop using the Service and request account deletion at any time. We may suspend or terminate access if you breach these Terms, misuse the platform, or create a security or legal risk. On termination, provisions that by nature should survive (including IP, liability, and confidentiality) will continue to apply.

11Changes and governing law

We may update these Terms from time to time. Material changes will be notified by email or in-product notice where practicable. Continued use after the effective date constitutes acceptance of the updated Terms.

These Terms are governed by the laws of England and Wales. The courts of England and Wales have exclusive jurisdiction, subject to any mandatory consumer protections that apply to you.
